Responsible for supporting multiple Sr. Vice Presidents/Vice Presidents and will provide administrative support to the various departments to include Research and Development, Operations, Finance, HR, Sales, Marketing and other department leaders as needed.

• Provide complex, diverse and confidential administrative duties for executives
• Provide general departmental administrative support
• Make administrative decisions, handle correspondence, manage calendar appointments
• Collect and prepare information for use in discussions and meetings of Executive staff and outside individuals as well as department team
• Coordinate, create, edit and assemble slides for presentations and provides assistance with collecting and effectively presenting executive-level information
• Arrange department and group meetings ensuring all necessary information is available for discussion; helps track department level projects, activities and results
• Coordinate travel arrangements
• Schedule candidate interviews in collaboration with HR
• Maintain a high level of confidentiality and discretion with regard to information
• Independently and proactively provide high-quality support and anticipate the needs of executives
• Maintain executive confidence and protects organization and executive by demonstrating a high level of professionalism in dealing with confidential and sensitive issues.
• Serve as a back-up to other administrative staff and supports Sr. Executive staff as needed. Retrieve, sort, and file all essential documents.
• Initiate purchase orders, check requests and track payments.


• High School diploma or equivalent; College degree or equivalent work experience preferred
• At least 5+ years supporting executive team members (Chief Medical Officer, Chief Financial Officer, Sr Vice President)

• Proven ability to work with discretion and tact in an environment exposed to a high level of sensitive and confidential information.
• Working knowledge of administrative and clerical procedures and general office procedures;
• Skill in effective verbal and written communication;
• Skill in establishing and maintaining effective work relationships with co-workers and work-related contacts; and effectively represents the face of the executive while protecting his/her time;
• Ability to work as a member of a team;
• Ability to work independently with little or no supervision;
• Ability to maintain flexibility and work with frequent interruptions and multiple, changing priorities;
• Ability to prepare various reports and correspondence;
• Acts with sense of urgency and understands need for responsiveness after hours and some weekends, as needed (e.g., during executive travel, periods of activity/sensitive business commitments, etc.)
• Plans proactively and anticipates the needs of the department(s)

Key Competencies
• Must have strong project management skills and attention to detail
• Must have a strong working knowledge of relevant software systems (e.g., Access, Excel, , MS Word, PowerPoint, etc.) and in particular, must be proficient in PowerPoint and be able to coordinate assembling presentations from various parties.
