The R&D Planning, Strategy and Operations group is looking for a Temp - Administrative Assistant. The Administrative Assistant provides support and performs administrative duties for department staff as required. Additionally, using organization, planning and technical skills, this person executes tasks to facilitate workflow processes.

• Meeting Management: Provides administrative support of both on-site and off-site meetings and joint collaboration meetings facilitated by members of R&D Planning, Strategy and Operations. Manages calendar invitations with complete and accurate detailed content; secures venue or conference room, secures guest WiFi access, registers guests with security, liaise with IT and Facilities groups for trouble shooting or unique meeting requirements. Serves as support point of contact for on-site joint collaboration meetings. Works with team members and procurement for scheduling of off-site activities/events as needed. Tracks and manages rotation and updates for R&D PSO recurring meetings.
• Travel, Registration and Expense: Books travel (air, ground, hotel) and conference registration for R&D PSO team members. Prepares and submits electronic expense reports for R&D PSO team member travel, in-house meal expenses, R&D PSO team member conference registration and other purchases.
• Catering & Meals: Places in-house meeting catering orders, provides set-up and clean-up. Works with R&D PSO team members and arranges off-site meals for joint collaboration meetings. Arranges off-site meals during off-site R&D PSO activities/events as needed.
• Office Supplies: Maintains office supply stock, places restock and request orders.
• Resolves routine administrative problems and answers inquiries concerning activities and operations of the R&D Planning, Strategy and Operations department. Analyzes uncommon problems and resolves with new and effective solutions.
• Works with R&D Planning, Strategy and Operations to create, update and finalize the various reporting and communication tools: action item / decision logs, meeting minutes, weekly meeting schedules, project plans, spreadsheets, presentation materials, etc.
• Identifies, creates and maintains tools and templates to standardize and optimize processes in support of R&D Planning, Strategy and Operations.
• Works under direct supervision.
• Generally involved in task related activities as part of a work flow by following established policies and procedures.
• Errors in judgment or failure to achieve results would not have a major effect on the organization.
Knowledge and Skills
• Excellent organizational, planning and tracking skills with technical knowledge necessary to perform day to day task related activities.
• Core competencies: Demonstrates excellent written, verbal and interpersonal communication skills with the ability to effectively interact with team members with tact and diplomacy. Handles multiple priorities with excellent time management skills (both project and self).
• Proficient in relevant software: Word, Excel and PowerPoint in addition to general knowledge with shared work environments.
Typically reports to Executive Assistant or above
Education and Experience
AA or BS Degree with minimum one to two years relevant administrative experience.
