Position Summary

Summary:

Provides executive administrative support to VP Strategic Sourcing & Procurement and her direct reports, and plans/ coordinates Sourcing departmental activities. This role requires the incumbent to consistently exercise considerable judgment and initiative. Demonstrates a general understanding of the business and works under general guidance.

Responsibilities:

• Support VP SS&P and direct reports with administrative tasks (i.e. managing agenda, follow ups, email mgm, expense management, meeting planning,) at her direction.
• Anticipates the needs of leaders and teams in order to manage and problem solve all logistics
• Plan and coordinate a variety of departmental meetings with Sr. Management, including scheduling calendars, conference room reservations, teleconference set-up, lunch orders and other associated meeting logistics
• Coordinate travel arrangements and prepare travel expense reports for Sourcing leadership team.
• With supervision from VP/Directors prepare agendas for Townhall and other large meetings
• Record, compile, transcribe and distribute minutes of meetings
• Coordinate and maintain records for staff, department website, email groups etc
• Maintain and update department business continuity plan
• Order, stock, and distribute office supplies.
• Perform a range of staff and/or operational support activities, sometimes serving as a liaison with other departments on basic administrative matters
• Additional work assignments as requested by VP
• Perform miscellaneous job-related duties as assigned
• Responsible for submitting requisitions and tracking department purchase order requests and may coordinate broader department expenses

Requirements:

• Bachelor's Degree preferred
• Minimum of 5 to 7 years of experience supporting VP/directors in a corporate environment
• Proficiency in Microsoft Office Suite required with advanced word processing and Powerpoint skills a plus
• Must be proactive, have excellent time management skills and be able to anticipate the administrative needs of the department
• Candidate should possess excellent communication skills with an ability to respond with professionalism in verbal as well as written communications
• Excellent judgment as well as the ability to work with confidential documents and use appropriate discretion in the management of information
• The ideal candidate is an administrative professional who takes pride in managing the department needs. He or she is detail-oriented with strong organizational skills and a proven ability to prioritize, work independently and complete quality work on a timely basis
• Ability to understand departmental and /or leader priorities and adjust work accordingly while maintaining high level of accuracy and attention to detail.
