The Corporate Strategy Group (CSG) Assistant, within the Corporate Strategy Office at AbbVie, is an invaluable member of the team who brings us together and facilitates our success by connecting us to the organization, helping to create a positive team environment, and enabling our productivity on a day-to-day basis. Responsibilities include all administrative functions of the department: answering phones, managing calendars, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, planning meetings/events, creating or revising business documents, managing billing, compiling meeting materials and other similar matters.

• Provides full, advanced administrative support to Vice President, Corporate Strategy Group

o Proactively manages and maintains calendar

o Schedules all meetings, including room booking and catering

o Provides occasional support with slide writing

o Assists with printing needs

o Files expense reports

o Books travel

o Helps with purchasing and contracts

• Provides targeted administrative support for up to 10 additional team members o Schedules more complex meetings (e.g. large groups, meetings with VPs)

o Assists with complex printing needs (e.g., binders)

o Files expense reports

o Books travel

o Participates as a member of the CSG Leadership Team and right-hand to VP on team matters

o Schedules and coordinates agendas for CSG-LT meetings

o Compiles summaries of CSG activities for ELT / CSO updates

o Listens to and participates in team discussions, bringing a unique perspective

o Coordinates and maintains departmental files in compliance with corporate and legal guidelines

• Supports team-building within CSG and across the organization; serves as a face of CSG o Identifies and coordinates team-building events and activities

o Sets the tone and serves as a face to the organization

• Partners to coordinate new employee office set-ups and onboarding

• Uses intermediate to advanced software skills to perform assigned work. Uses and understands Microsoft Office Suite and other business-specific software, including Corporate Travel website and other programs


• Minimum 3 years of administrative assistant related experience. High School diploma or equivalent

• Experience providing support to VP level or equivalent

• Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, understanding of business processes and requirements

• Self-starter able to function at a high level with general instruction

• Builds strong relationships with peers and cross-functionally with partners outside of assigned group as necessary to enable effective and efficient team operations

• Team-oriented, can-do attitude and desire to be productive contributor to overall organization

• Learns quickly and can change course quickly when needed

• Open to suggestions and innovation for improvement

• Professional demeanor and ability to maintain confidentiality
