Oncology is a key therapeutic area for AbbVie, with a portfolio consisting of three marketed products — Imbruvica, Venclexta, and Empliciti — and a pipeline containing multiple promising new molecules that are being studied in nearly 200 clinical trials in 19 different types of cancer.
AbbVie is expanding its oncology hub on the West Coast, with three sites in the San Francisco Bay Area (Redwood City, South San Francisco, and Sunnyvale) focused on the discovery and development of novel oncology therapies. More than 1,000 AbbVie scientists, clinicians, and product developers with strong entrepreneurial roots work across these three sites. They combine their expertise in immuno-oncology, stem cells, and cell-signaling with their knowledge of bispecific antibodies, antibody-drug conjugates (ADCs), and covalent-inhibitor technologies to discover and develop novel cancer treatments. This position is based at AbbVie's Redwood City, CA location.
Position Description
This individual handles all the administrative and project coordination for our West Coast Business Operations function (EHS, Engineering, Facilities, Purchasing, IT). Through providing daily business operations support and project coordination to this function, he/she will serve as a business operations point person for administration. Key Responsibilities Include:
  • Provide administrative and project coordination support to Head of West Coast Business Operations who manages 3 sites in the San Francisco Bay Area.
  • Manage complex calendars (MS Outlook), scheduling meetings (Webex), travel arranging (Concur) and expense reporting.
  • Ability to create, edit and improve presentation materials or documents.
  • Assist in preparing regular scheduled project reports.
  • Responsible for meeting planning, organization, set up and execution.
  • Manage multiple projects coordination effectively.
  • Using MS tools to track project costs and schedule (Word, Excel, PowerPoint, Project), supporting Engineering PM.
  • Support Administrative leaders in office project management (e.g. construction, built out, Business Operations process improvement).
  • Manage Business Ops vendors master in SAP.
  • Manage departmental training records and requirement (ISOTrain).
  • Manage offsite storage (Datasafe)
  • Interacts with other administrative staff to understand the business process and flow.


  • Minimum 5 years of administrative assistant and project coordination and related experience. High School Diploma or equivalent. (7 to 10 years' of experience highly preferred).
  • Experience in successfully coordinating multi-faceted events and projects and engaging with internal and external resources.
  • Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, SharePoint and understanding of business processes and requirements.
  • Self-started able to function at a high level with general instruction.
  • Builds strong relationships with peers and cross functionally with partners outside of assigned groups as necessary to enable effective and efficient team operations.
  • Team-oriented, can-do attitude and desire to be productive contributor to overall organization.
