Scientific Communications, within the Medical Affairs department, works closely with various functional areas within the organization to communicate accurate, consistent and timely information regarding products and therapeutic areas. The Associate Director of Scientific Communications is responsible for overall operational excellence of Scientific Communications and will provide technical, process and operational expertise to support the preparation, communication and monitoring of educational and medical information consistent with policies and procedures. Additionally, the candidate is responsible for oversight of the Pharmacyclics Contact Center and will serve as the business lead for the medical information system (IRMS), and all policies, SOPs, work instructions, and guidance documents / working agreements governing the practice of the contact center and use of the medical information system. This position will report directly to the Director, Scientific Communications.

Key Accountabilities/Core Job Responsibilities:

  • Scientific Communications Operational Excellence - key responsibilities include:
    • Providing leadership to scientific communications team in successful delivery of high-impact communication and process improvement initiatives, including but not limited to scientific congress coverage, internal MAF knowledge management (i.e. internal debriefs, medical insights from various sources), and medical information.
    • Developing clear processes and systematic methodology to collect, collate and synthesize insights from different stakeholders across the organization (e.g. Commercial, R&D, Field Medical Teams, Though Leader Liaisons). Build new capabilities and or implement new technology to capture and leverage these insights more efficiently.
    • Enhancing internal efficiency by integrating relevant medical insights that includes external knowledge from congresses, advisory boards, field interactions, and call center activity. Partner with stakeholders across the organization to ensure pull-through of insights into internal strategic planning and execution.
    • Developing internal communication plans to engage key stakeholders and increase information sharing and transparency across the organization
  • Manage the Medical Information Call Center - key responsibilities include:
    • Ensuring all policies, SOPs, work instructions, and guidance documents / working agreements governing the practice of the contact center are up-to-date and meets all compliance standards.
    • Further enhancing process and optimize contact center practices where appropriate.
    • Monthly trend reporting and inquiry analysis, in close partnership with the office of ethics and compliance team
    • Ensuring optimal process for AE and PQC intake, in close partnership with drug safety and clinical quality assurance
  • Manage the Medical Information database - key responsibilities include:
    • Ensuring all policies, SOPs, and work instructions governing the operation of the medical information database are up-to-date and meets all compliance standards.
    • Further enhance the system where appropriate to improve team efficiency (e.g. triage capabilities to field medical team and other cross-functional partners) and to eliminate or reduce risk (e.g. audit trails, user level of access)
    • Represent the scientific communications team on all audit related activities as it pertains to the contact center, all inquiry intake, documentation & fulfillment, and the medical information database
  • Review and approve call center escalations to ensure timely, fair-balanced and accurate responses to complex medical information inquiries
  • Provide scientific support at various congresses
  • Maintain a current familiarity of the published medical literature relating to the product line and current industry practices that pertain to Scientific Communications
  • Manages and prioritizes multiple projects, provides solutions to complex problems, and completes projects within deadlines
  • Leads key Scientific Communication projects and performs other responsibilities as assigned by the Director, Scientific Communications

Qualifications and Requirements (degree, certifications, etc. and other requirements):

  • Call center experience preferred (experience with management of call center strongly preferred)
  • In-depth knowledge of medical information practices, policies & procedures, inquiry intake, documentation & management, and relevant laws and regulations
  • Significant experience in literature searches, literature evaluation, and drug information concepts
  • Strong leadership, organization and time management skills
  • Excellent interpersonal, verbal and written communication skills
  • Strong analytical and problem-solving skills
  • Ability to work effectively in a cross-functional team environment
  • Self-motivated, team player, able to take initiatives and act independently in a fast-paced environment
  • Hematology/oncology preferred, but not required
  • 10-20% travel required

Education Requirements:

  • PharmD, PhD, MD, or nursing degree with at minimum 5-7 years of relevant Medical Affairs (Medical Information and/or Medical Communications) industry experience (Masters degree will also be considered depending on relevant experience)
