Scientific Collaborations Conference Planning

Project Management Consultant

Scope of Work:

9-12 conferences in scope for 2017

Conference organization and logistics:

Work with Meeting and Convention Services (M&CS)
•   to secure booth space
•   finalize booth design w/ Taylor group
•   secure room blocks for the medical team
•   send out registration links and follow up with medical team regarding attendance
•   Prepare regular conference updates (slide decks) to update medical team
•   Maintain conference calendar and attendance on Google spreadsheet
•   Create timelines/project deadlines and milestones for all conferences

Pre-conference planning:

•   Work with commercial to prepare pre-con slide deck
•   Route precon deck through PRC review
•   Enter TAE and leadership meetings into Harmony system
•   Send out TAE invitations via Harmony system
•   Coordinate TAE engagement between commercial and Medical
•   Arrange meeting rooms and coordinate meeting room times, schedules, refreshments, AV equipment, room configuration
•   Send out meeting reminders to all attendees
•   Capture insights from meetings and disseminate to teams (see below)
•   Infusion team member to ‘host’ TAE meetings on site

Insights gathering on external engagements, TAE meetings, booth interactions from commercial, medical, global, PD and PDMA:

•   Create template to record information
•   Create ‘playbook’ (separate from MSL playbook) listing meetings w/objectives and (post-conference) insights gathered
•   Requires team member with scientific training
•   Disseminate information to teams
•   Prepare post-conference summary deck w/insights included

Conference Booth Assets: Facilitate and Coordinate:

•   Creation of assets (as needed) – requires team member with scientific training
•   Amendments to existing assets (as needed)
•   Routing of all assets through PRC
•   Asset management to ensure adherence to timelines and escalation of items on critical path
