Job Duties:

The UCLA Children's Discovery and Innovation Institute, as part of the Department of Pediatrics and the Mattel Children's Hospital UCLA, will build on our children's research accomplishments and maximize collaborations among our pediatric physician scientists. The Institute will lead in our effort to facilitate the creation of new knowledge about children's diseases, disseminating and putting this new knowledge into practice.

Reporting to the Chief Administrative Officer of the Department of Pediatrics, and with additional collaborative relationships with the Department of Pediatrics Director of Finance and Director of External Relations, develop a Pre-Award Grant Support Office.  This office will work to streamline the pre-award grant process providing support and assistance in identifying and producing successful grant submissions. This Rapid Response Grant Office will help establish the UCLA Children’s Discovery and Innovation Institute by quantitatively improving the process and management of children’s translational research within the department.  The office will also develop an administrative structure to increase research collaboration, including the creation of seminar series, and public and academic symposia as an essential part of the Institute’s effort to discover and disseminate new scientific information.  This effort will also include content creation and editorial expertise for research publications, including the development of an annual research book to be widely distributed to improve institute national and international recognition, and to serve to support further institute development.

Develop Pre-Award Grant Support Office

Develop and extend pre-award office with training and grant preparation materials including approved descriptions of David Geffen School of Medicine UCLA, the Department of Pediatrics and Mattel Children’s Hospital UCLA.

Establish methods of connecting researchers for project collaboration

*

Streamline all aspects of the grant submission process

*

Actively work with researchers to prepare grant proposals with the goal of providing assistance in clarifying research descriptions and assistance with writing proposal drafts.

*

Create monthly seminar series highlighting the work in progress of Institute research members.  This effort requires working with faculty physician scientists to understand on-going research efforts and establishing a method of selecting and promoting monthly talks.

*

Establish public and academic symposia as an essential part of the Institute’s effort to discover and disseminate new scientific information.

*

Create content and serve as editor for newsletters and an annual research publication to establish national and International recognition for the Institute.

*

Assist the UCLA Health Sciences Development office in providing materials and research expertise to solicit new individual funding for the institute’s projects.

Perform research projects related to Strategic Plan and UCLA Children’s Discovery and Innovation Institute

Budget Development and Financial Analysis for UCLA Children’s Discovery and Innovation Institute

*

Prepare budgets, financial reports, forecasting and long range strategic planning for the UCLA Children’s Discovery and Innovation Institute.

*

Create income and expense trend reports and develop research business models for submission of NIH grants, private grants and gifts.

*

Make recommendations to Chief Administrative Officer regarding new revenue opportunities and expenditure control.

*

Create new Pediatric accounts to streamline the Institute financial reporting.

*

Present research budgets to Chief Administrative Officer and physician leaders within the institute.

*

Knowledge of financials in areas such as Gifts and Endowments, Indirect Cost Recovery Funds and Compensation Plan.

*

Perform high level special projects and assist in training on financial systems and reports as needed.

*

Serve as a liaison for Directors, fund managers and financial managers.

*

Provide cross coverage to prepare and review financial reports for Compensation Plan, Gifts, Endowments, Indirect Cost Recovery and State Funds as needed.

Requirements


Job Qualifications:

Required: Demonstrated advanced skill in financial analysis, planning, preparation, and administration for a budget with multiple complex funding sources. Knowledge of contract and grant proposal submission process in order to advise staff and faculty on how to complete forms and process through appropriate channels. Skill in negotiating and exchanging ideas, information and opinions in collaboration with faculty, staff and administrators to arrive at conclusions or solutions. Skill in writing concise, logical and grammatically correct memos, letters and reports. Ability to plan, organize and give group presentations to provide information or explain policies and procedures. Skill in computing ratios, rates and percentages to prepare financial reports. Ability to establish and maintain cooperative working relationships with faculty, staff and administrators. Ability to speak in a logical and concise manner to convince others to follow policies and procedures and to explain financial issues. Experience in working as part of a team; collaborating with colleagues. Skill in organizing material, information, and people in a systematic way to maximize efficiency and minimize duplication. Knowledge of University personnel, payroll, contract and grant pre award and post award, and accounting policies and procedures. Demonstrated understanding of the business ethics connected to the accountability and confidentiality involved in processing pre-award grants, financial budget and data and knowledge of the organizational hierarchy and policies and procedures established around such responsibilities. Skill in navigating the Transfer of Funds, Purchasing and Accounts Payable, Query Database and Employee Database systems at UCLA.Ability to correlate available financial resources with divisional programmatic needs. Skill in projecting, analyzing and monitoring income and expense trends on the basis of existing revenue and cost data. Ability to work independently with minimal supervision. Demonstrated skill in resolving complex contract and grant financial issues which involve interpretation and application of established policies and procedures. Skill and knowledge in creating and maintaining information systems as they relate to extramural awards and proposals, personnel, financial and organizations needs. Demonstrated skill in developing business plans, financial models and revenues. Skill in reading and interpreting financial reports, including salary distribution spreadsheets in order to draw conclusions from the data. Bachelor's degree preferably in a business-related field, public administration, or statistics. Master's degree or equivalent experience preferred. Previous management experience at a university, public sector or healthcare organization preferred.
