As the PET Administrative Assistant, Packaging, you are responsible for a variety of administrative duties such as scheduling meetings, arranging travel, and ordering supplies; as well as, project or process

oriented activities in support of the Executive Director/GM, Process Execution Team (PET) and/or other Site Support Functions. This position requires a significant amount of data collection, data input, and data collation. The incumbent will be responsible for managing and communicating functional data, creating various summary reports, and other applicable duties.

Essential Job Functions:

  • Print, collate, and facilitate the flow of batch record documentation within the PET and/or site. Assemble the completed batch records and deliver to Quality /Storage upon completion.
  • Coordinate training scheduling and documentation for PET team or Site Function, enter training information into electronic tracking systems.
  • Inputs production and facility operations data into various systems to track and trend equipment, personnel, or facility performance.
  • Gather KPI information and draft reports & visual controls (charts/graphs) that effectively display information.
  • Provide support for scheduling of meetings, travel arrangements, training sessions, ordering of supplies, etc.
  • Monitors Budget and Expense activity and prepares reports and charts as required by area management to evaluate the areas financial performance.
  • Purchase/maintain records of production-related supplies.
  • Accountable for company purchasing card to support miscellaneous purchases for multiple departments.
  • Maintain and control archiving of Equipment Utilization Logs.
  • Feed Work Order information into SAP.
  • Manages complex communications as required.
  • Complex administrative support including but not limited to:
    • Performs research, collects and organizes data.
    • Creates presentations from several sources.
    • Work in MS Visio and Powerpoint supporting PET presentations and displays.
  • Collaborates within team environment.
  • Owner of various key projects and / or processes; may assist or participate in some areas within specific initiatives.
  • Coordinate and schedule interviews and routine PET meetings.

Requirements

Essential Requirements:

  • High School graduate or equivalent.
  • Relevant experience in a manufacturing environment.
  • Proven ability to work well with minimal supervision.
  • Proficient with internet / intranet usage.
  • Good oral and written communication skills. Extensive phone communication.
  • Advanced MS Office Skills/ Proficient at typing, data entry.
  • Proficient with Infrastructure and job specific processes.

Desired Background:

  • Project Management Skills and experience with Microsoft Project.
  • Expert with infrastructure and job specific processes.
  • Knowledge of Change Control and SOP Systems.
  • Knowledge of relevant technical applications.
