Position Overview:

This position is a key member of the Aziyo Biologics team and as such is involved in executing the Company’s short- term goals and objectives as it relates to order processing/customer service.    

This position acts as the initial point of contact for incoming orders and product returns.  This role will be responsible for delighting customers and/or sales reps, handle all orders, confirm timely fulfillment of orders with logistics, initiate and track product returns, provide administrative support, and work on other tasks or projects as assigned.  

Position reports to the Supervisor, Distribution.

Essential Duties & Responsibilities:

•   Handle all incoming orders from customers and sales reps.
•   Provide product availability information to customers and or sales reps.
•   Ensure all orders are entered in a timely manner, proactively communicating status and tracking to customers.
•   Assign graft ID’s to an order if available to ship.
•   Communicate same day orders needs to Logistics Department.
•   Work closely with QA and Logistics to determine product availability timelines, proactively communicating the availability to customers and/or sales reps.
•   Work closely with Billing Department on new customer account set-up.
•   Assist with verifying and gathering customer Bill To and Ship To information.
•   Create new Ship to locations for existing customers.
•   Initiate and manage product return process.
•   Ensure response to all customer inquiries is prompt and delightful.
•   Report and facilitate investigations of non-conforming events.
•   Performs special projects or other related work as required.
•   Collaborates with cross-functional teams on special projects.

Requirements

Education:

•   High School Diploma or equivalent.
•   Associate degree/B.A. preferred

Experience and Skills:

•   Ability to conceive, plan, provide training for, and implement major new processes and procedures.
•   Ability to communicate clearly with management, peers, subordinates and vendors on complex issues dealing with a large amount of detail.
•   Excellent project management and organizational skills.
•   Demonstrates a high concern for detail, accuracy, and compliance to Company and Corporate policies and procedures.
•   Strong skills in Microsoft Office, including Word, Excel and PowerPoint.
•   Ability to work with cross-functional groups.
•   Possess strong written, verbal and interpersonal communication skills.
•   Demonstrated experience utilizing critical judgment and analytical skills.
•   Works well under pressure with strict deadlines.
•   Maintains confidentiality of all records and information, which pertains to donors, families, employees, the organization and related areas.
•   Available and adaptable to working fluctuating schedules, including weeknights, weekends, holidays and overtime as required.

Physical Requirements:

•   Must have the ability to lift and move 50 lbs. or more.
•   Some operations require bending, or standing for long hours, pushing and/or pulling objects to a machine or/on a cart.
•   Ability to distinguish colors.
