About the Position

Edgewise is seeking an Office Manager with an outsourcing and purchasing focus to join our dedicated team. Beyond the requirements listed below, the ideal candidate will possess the entrepreneurial attitude key to succeeding in a start-up environment.
Office Manager

The Office Manager will provide high-level support as a trusted partner to facilitate the smooth flow of the business. This position will be responsible for developing intra-office communication protocols, streamlining administrative procedures, outsourcing, purchasing and inventory. We are looking for a driven professional who doesn’t mind wearing multiple hats.  


Outsourcing & Purchasing

•   Partner with science management to set-up and maintain relationships with contract research organizations  
•   Evaluates and analyzes tools and processes to support outsourcing and budgeting efforts
•   Purchases materials, scientific equipment and services and office/business supplies
•   Checks requisitions, obtains quotes, examines bids and makes awards  
•   Evaluates vendor and supplier reliability
•   Develops new supply sources, as required
•   Coordinates purchasing activities with other departments to maintain inventory at planned levels
•   Monitors the cost, schedule and scope of assigned subcontracts to assure best quality at best value


•   Assist and support the CEO and the team with daily schedule and activities
•   Arrange events, meetings, and set-up video/conference calls
•   Coordinate domestic and international travel arrangements
•   Trace incoming invoices/travel expense reports and approvals
•   Forward approved invoices/travel expense reports to accounting department for payment
•   Closely liaise with accounting department for account reconciliations and questions
•   Maintain office supplies and office equipment
•   Provide additional administrative support as required

Human Resources

•   Assists with scheduling interviews, new employee on-boarding and other hiring processes
•   Submits requests for new employee email, systems access, telephones, computer; ensuring works space is ready for occupancy
•   Interacts closely with Head of Human Resources to communicate policies and procedures as necessary


Skills and Experience:

•   Bachelor's degree or related experience is required
•   5 + years of successful experience providing outsourcing, purchasing and administrative support
•   Experience in purchasing and/or outsourcing in a biotech/pharma company or laboratory environment required
•   Demonstrated knowledge of scientific vendors
•   Ability to balance multiple tasks in a fast-paced environment
•   Ability to quickly grasp new tasks, excellent attention to detail and strong problem-solving skills
•   Excellent communication and organizational skills
•   Flexible and proactive approach and diplomatic skills
•   High level of integrity and discretion
•   Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
•   Strong computer skills and knowledge of available scientific resource databases and search engines desirable
•   Strong team player with the ability to build relationships across and outside the organization
