Job Description

Calithera seeks a highly motivated, intelligent and proactively driven legal administrative assistant to join its growing Legal and Compliance team.  This position requires an individual with the aptitude to manage complex and demanding calendars, an eye for accuracy, discretion in handling confidential information, and the ability to deliver results across multiple projects simultaneously, often under competing deadlines.

Duties and Responsibilities:
•   Assist and support General Counsel and Legal/Compliance department with their daily schedule and duties, to include heavy calendar management, prioritizing commitments, and travel arrangements (planning itineraries, developing agendas, meeting materials and prepare and process expense reports, etc.)
•   Support collaborative projects with various internal business stakeholders including Human Resources, Finance, Business Development, Clinical, Medical Affairs and Commercial
•   Arrange meetings and set up video/conference calls (including coordinating all meeting logistics, developing agendas and meeting materials, etc.) with internal business partners, external legal counsel, vendors, collaboration partners and other third parties, including proactively anticipating the needs of the team and prepare meeting materials in advance
•   Track and help to drive completion of key deliverables, following up on outstanding items and liaising with external parties as needed
•   Assist with documents and other correspondence, presentations, company trainings and policies and procedures by designing, writing, editing and formatting as needed
•   Manage and treat highly confidential information with highest degree of professionalism and integrity


Qualifications and Requirements:
•   Successful candidate will have 5+ years of experience as a legal administrative assistant
•   Strong preference given to candidates with experience working in biotech or pharma
•   Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and excellent typing skills
•   Proactive critical thinker and problem solver, with strong verbal and written communication skills and ability to handle fast paced environment with multiple competing priorities exhibiting patience, and grace under pressure
•   Excellent organizational, administrative and time management skills and attention to the smallest detail
•   Team player that works well with others in a collaborative and collegial fashion
•   Bachelor’s degree required;  paralegal or other related certification helpful
