Job Description

Provides commercial sales administration and general project management support. Assists with facilitating information flow and serves as a liaison amongst departments, team members, project leaders, senior management and the corporate client. Serves as the primary JDE initiator for sales orders, service orders and sample shipments for revenue contracts. Analyzes contracts to ensure compliance to company policy, government specifications and other requirements. Provides subject matter expert review of sales requirements for revenue contracts. Assists program manager in drafting and initiating PEG Partner revenue scopes of works and confidentiality agreements. Organizes departmental activities helping to ensure the completion of projects on schedule and within budget. Researches, compiles and proofs work processing assignments.  

Applies acquired job skills and company policies and procedures to complete tasks. Works on assignments that are semi-routine in nature and can recognize the need for occasional deviation from accepted practices. Takes ownership and responsibility for the Sales Order Module in JDE system. Enters sales orders (revenues, inventoried shipments, and services) into JDE system. With moderate supervision, coordinates assigned activities/tasks with external vendors, customers and/or partners. Serves as the primary contact with revenue partners on forecast, purchase orders and shipment. Provides confirmation of purchase orders and forecasts to partners, noting contractual requirements and verifying contractual compliance. Works to ensure adherence to established contracting policies and procedures. Assists in drafting Scope of Work (SOW) for revenue contract and confidentiality agreements. Assists in initiating SOW flow in MATRIX for revenue contracts. Coordinates with Materials Management on commercial sales orders shipment logistics. Monitors the progress of contracts and helps to compile reports on contractual performance, financials and compliance. Assists in the review of forecast and purchase order provisions for revenue contracts and amendments. Generates monthly sales orders report for Finance for revenues and inventoried shipments and in support of audit requirements. Compiles contractual information for budget and financial information, complex cost reimbursements and billing. Assists with the collection and tracking of monthly project reports, metrics and budget numbers. Disseminates information to critical personnel with regard to changes and updates relating to contracts. Interfaces with a variety of internal and external customers providing guidance and information on contractual matters to meet requirements for contracts. Acts as the liaison with internal key stakeholders on reviews of forecasts and purchase orders to include manufacturing schedule and delivery dates. Coordinates with Finance on the generation, review and approval of final invoices for sales and service orders. Drafts and sends annual pricing letters to commercial partners. Coordinates assigned activities/tasks with internal customers and/or departments. Provides documentation support, ensuring documents are tracked, maintained and entered into appropriate databases. Maintains contract and customer databases and files. Creates and maintains sales order entry instruction manual and trains backup personnel.  Provides a variety of reports to senior management. Performs other contracts and project related tasks as assigned.


A minimum of Bachelors degree in Business Administration, Chemistry, or a field related discipline is required. Professional certification or advanced degree is a plus. Equivalent experience may be accepted. A minimum of 2-4 years of experience is required. Previous experience working in the pharmaceutical, biotechnology or medical device industry is preferred. Previous experience with external relationship management is required. Requires knowledge of business and industrial practices including cost factors. Must be able to demonstrate a knowledge of contract requirements, analysis of contract performance, and special provisions. Must be able to analyze and understand contract terms and conditions. Knowledge of Sarbanes Oxley is a plus. General knowledge and/or previous experience with commercial sales orders and contracts is preferred. Must be able to work with a high attention to detail. Must have excellent oral and written communications skills. Strong computer skills, including knowledge of databases and spreadsheets, are required. Working knowledge of MS Word, Excel, and PowerPoint is required. Must be able to demonstrate strong interpersonal and customer service skills. Must be able to demonstrate time management, priority management, planning and coordination/multi tasking skills. Must demonstrate an ability to build relationships and work as a team player. Coursework in basic Project Management or Meeting Management is a plus. Previous experience working in a GMP or GLP environment is preferred.
