Primary Function / Primary Goals / Objectives:


The primary function of the GPRD Project Management Office is to develop, implement, and maintain effective and centralized reporting processes and tools in order to provide routine and adhoc status reports to senior and executive management and to deliver against the organization’s strategic and financial plans. The Project Management Office is directly responsible for the ongoing management and optimization of technology to support drug development planning, tracking resource management, and reporting across the R&D portfolio.  The Project Management Office also coordinates across functions to foster collaboration and implementation of process improvements for global project planning and tracking systems.


 


This position is a coordination role responsible for completing advanced assignments and providing general support to Project Management and GPRD Functions.  Candidate will be responsible for working on business support of multiple systems.  Need to be able to manage multiple business demands and ensure requests are completed in an accurate and timely manner. Candidate must demonstrate ability to collaborate with both business and technical resources.  Knowledge of business intelligence platforms, MS Project, and MS Office Software is required.  Knowledge of QlikView and SharePoint are highly desirable.


 


Major Responsibilities:  This position performs the following responsibilities:


 


 


Computer Systems Support


Participate in the development and implementation of workarounds for system issues and requests.  Coordinate and contribute to the design, development, and testing of systems and supporting documentation.


Project Coordination and Management


Coordinate a single large Project Management Office project or several smaller related projects. Convert goals to tasks and coordinate activities to meet goals. Estimate and manage requirements to achieve defined objectives. Execute against defined objectives/plans and keep management informed of progress and achieved milestones.


 


Metrics and Data Analysis


Create adhoc reports, customized data sets and provide quality data in a format that is informative to aid in the analysis or review of data.  Collect, track, and analyze project milestone metrics. Analyze and report data, communicate issues/trends and recommend improvement.  Seek opportunities to optimize processes to create and disseminate actionable, value added information that achieve business needs. 


 


Reports, Publications and Information Management


Ensure accurate and timely publication of communications.  Assess documentation for completeness and accuracy for management review. Create/modify guidelines and checklists to support best practices.


 


Training and Consulting


Develop and provide basic training, interpretation and guidance on new processes and systems. 


 


Portfolio Support


Provide quality assurance for project plan data.  Measure performance against standards.  Analyze change requests for trends. Recommend alternate solutions for effecting change.


 


Performance Excellence


Ensure timely completion of standard HR and training processes including PEx, EHS compliance, LERN modules as communicated by corporate and division management.


 


Supervisory / Management Responsibilities:


Close interaction with various areas across the division. May train others. Receives general direction and exercises considerable discretion as to personal work details. Performs responsibilities with minimal supervision/oversight.



Accountability / Scope:


Accountable for support of Project Management Office functions including project coordination and management, reports and publications, computer system support, training and consulting, metrics and analysis, and portfolio support.


 


Accountable to His/Her supervisor for aspects of their activities and responsibilities; The Project Management Office for delivery against the organization’s strategic and financial plans


 


Builds and manages relationships with manager and group members. Ensures timely flow of communication and continually updates manager and group regarding project(s) in order to manage expectations. Is proficient with how organizations work, formal channels and informal networks, key policies, procedures, and the organization’s culture.


 


Problem Solving:


Must be able to work independently to resolve problems and develop recommendations.  Must be able to interact with all levels of management and employees in support of project coordination.  Must appropriately handle confidential information. Recognize when a procedure/manual process applies vs. when a technical solution is required. 


·         Independently identify issues and proactively initiate escalation process. 


·         Assess performance against plans, processes, and practices to determine effectiveness and areas for process improvement. Identify, quantify, and analyze business risks and potential hazards.


·         Recommend actions and develop responses to cope with various scenarios. 


·         Monitor risks and potential hazards and recognize when risks associated with project decisions exceed limits.


·         Recognize when corrective action and planning are necessary and assist with root cause analysis. Initiate corrective or preventative action and track to completion

Requirements

Education / Experience Required:


Bachelors Degree in Science, Computer Science, Business, or Project Management required.


Masters Degree desirable, but not required.


Doctorate Degree not required.


Accreditation by a Professional Body is desirable, but not required.


2-3 years experience in PM, IT, or System Based processes.


2 - 3 years in the pharmaceutical or biotech industry desired.


 


Must be self directed and work well in a team environment, be able to work on multiple projects concurrently and meet commitments, possess excellent oral and written communication skills, be process-oriented,convert goals to tasks and define estimates on time and requirements to achieve goal objectives, and demonstrate initiative. The incumbent must be able to discern the difference between general vs. confidential/sensitive reporting infomation and act accordingly. Experience/Awareness in the tools and techniques of Project Management and/or Business Excellence desired. Proficient technology skills (e.g. MS Office software, SQL, Business Intelligence Platforms, QlikView, SharePoint skills) required.
