As an Administrative Coordinator, in Waltham, MA, you’ll play a pivotal role in channeling our scientific capabilities to make a positive impact on changing patients’ lives. IMED (Innovative Medicines and Early Development) focuses on scientific advances in small molecules, oligonucleotides and other emerging technologies and drug discovery platforms across our focus areas.  

   Main Duties and Responsibilities  

 

   The administrative coordinator will report to the Director of Chemistry at the AstraZeneca Boston site, and will support them as well as the broader management/leadership teams across the site. Specific duties are summarized below:  

       
  •      Administrative support including extensive work on PowerPoint/Excel software packages, MS Outlook, One Note, communication, business development, and arrangements and other such duties in support of the Senior Management Team.    
  •    
  •      Work effectively and smoothly across functional area and geographical boundaries, especially with partner groups in the UK and Sweden.    
  •    
  •      Track and update department activities, budgets, and events as necessary.    
  •    
  •      Arrange travel to conferences and/or cross-site meetings for groups, individuals, and prepare/submit expense reports.    
  •    
  •      Maintain calendars for senior department leaders/managers and coordinate meetings for staff members.    
  •    
  •      Maintain local and department budgets and expenses with timely resolution of expense questions and discrepancies.    
  •    
  •      Organize weekly and monthly meetings for leaders in Chemistry and BioScience at the AstraZeneca Waltham site.    
  •    
  •      Prioritizes and organizes diverse tasks from multiple stakeholders and clearly communicates priorities and/or conflicts to supervisors and organization as needed.    
  •    
  •      Prepare Management for conferences and trips which would include registrations, presentations, and materials.    
  •    
  •      Coordinate R&D activities including events, dinners, candidate interviews, etc…    
  •    
  •      Coordinate IMED Oncology department events including summer outings, holiday parties, etc…    
  •    
  •      Order and inventory office equipment/supplies and some limited laboratory supplies.    
  •    
  •      Schedule company/department lunches, meetings, and overall coordination of the Waltham office operations.    
  •    
  •      Perform clerical work such as word processing, filing, sorting, mail distribution, sympathy/congratulations cards for department.    
  •    
  •      Prepare booklets and binders as needed to support recruiting and/or advertising for department functions, symposia, and recruiting events.    
  •    
  •      Prepare and maintain Project Team recurring meetings, team lists, and distribution lists.    
  •    
  •      Assist with organizing meetings between different groups and different parts of the organization for face-to-face meetings as well as technology assisted meetings using WebEx, Skype, and other virtual systems.

  •      Supports strategic planning and long term development of the department.

Requirements

   Essential Requirements  

 
       
  • Will require a minimum: a high school diploma, College degree preferred.
  •    
  • Minimum of 5-10 years of experience
  •    
  • The successful candidate must maintain a high standard of professionalism and confidentiality and must be able to problem solve.
  •    
  • Specific requirements include strong written and oral communication skills and above average computer skill knowledge using Word, Excel, PowerPoint, and Adobe Acrobat (knowledge and familiarity of Microsoft Project, One Note, SharePoint would further strengthen skill set).
  •    
  • Familiar with and comfortable utilizing Microsoft Outlook for scheduling meetings for individuals and multiple people as well as usage of the internet as a research tool.
  •    
  • Thorough understanding of telephone systems and familiarity of standard office equipment such as photocopiers, scanners, and fax machines.
