DESCRIPTION
We are seeking qualified applicants for the position of Executive Assistant/Office Manager to become a member of our founding team at our headquarters in South San Francisco. In this broad administrative position you will have primary responsibility for managing all of the Company’s office services including copy, mail and courier services, records retention, office reception, facilities services (utilities, security, communication) and managing timelines for delivery of these services. Additionally, you will be responsible for the bulk of the Company’s word processing needs, managing relationships with vendors and procuring supplies and services as needed. On a daily basis you will
• Provide comprehensive, high-level administrative support to the CEO and executive officers (possibly up to 4) including extensive and complex scheduling, as well as detailed travel plans and meeting agendas
• Establish and oversee the systems and processes related to effective operation of an early stage company (telephones, fax machines, copiers, facilities maintenance, etc.)
• Prepare presentation materials for Board of Directors meetings
• Make high-level contacts internally and externally regarding sensitive subjects
• Ensure budgets, schedules and performance requirements are met by vendors related to office systems management
REQUIREMENTS:
The ideal candidate will have
• A Bachelors degree or equivalent experience
• Minimum 8 years of relevant experience in similar high-level administrative work
• Ability to develop, implement and understand general company operations, work flows and procedures as appropriate
• Ability to work with little or no supervision, but with the good judgment to know when to involve others or ask for guidance
• Relieve CEO and executive officers of as much day-to-day work as possible; anticipate needs, and involve the people you support as appropriate to ensure synchronization of thoughts about work
