As health science companies increasingly move from paper to electronic systems, many important regulatory documents, contracts, and workflows still utilize wet ink signatures on hardcopy documents. Companies that thought moving from paper to electronic systems would save money are increasingly finding that significant costs are involved in scanning, tagging, and processing paper.

When health science companies signed up to “go electronic” to eliminate paper by digitizing paper documents, many of them didn’t realize the significant investment in labor, software, and scanning equipment that would be required. Digitizing documents is an extremely labor-intensive process that typically requires human labor to review, classify, and tag documents. Just one error during the scanning and tagging process can result in lost documents and quality issues that can impact many related business processes.

Instead of hurling four-letter invectives over the increased cost due to scanning and digitizing paper, organizations in healthcare and BioPharma are looking to replace scanning with cloud digital signing and cloud collaboration technologies. Cloud digital signing technologies enable electronic document completion and capture at the point of document origination, eliminating the need for costly scanning processes and accelerating document completion.

For example, in the clinical trials area, a new standards initiative called the Electronic Trial Master File Standard aims to provide support for cloud-based digital signing of documents as well as support for cloud-based document exchange and collaboration.

In healthcare, a new standard and system known as the Electronic Submission of Medical Documentation System (EsMD) eliminates the need for mailing paper medical bill authorizations and costly scanning and tagging in the US Medicare program. By using digital signing along with a secure cloud system that links healthcare providers with payors, the new EsMD initiative will eliminate the need for costly document scanning, reduce manual coding and tagging, and also reduce the number of fraudulent documents.
